About the Role

We are seeking a motivated and organised Administrative Assistant to support our sales and service operations. This role plays a key part in coordinating technicians, assisting customers, and ensuring smooth day-to-day office operations.

Key Responsibilities

  • Answer incoming calls and respond to customer enquiries professionally

  • Schedule service appointments and coordinate technicians’ daily jobs

  • Prepare quotes, invoices, and purchase orders

  • Maintain customer records and service documentation

  • Assist with processing equipment sales orders

  • Liaise with suppliers regarding parts and inventory

  • Manage data entry and filing systems

  • Follow up on outstanding payments and service confirmations

  • Provide general administrative support to management and technical teams

Skills & Experience

  • Previous experience in administration, customer service, or office support

  • Strong organisational and time management skills

  • Excellent communication skills (written and verbal)

  • Proficiency in Microsoft Office (Word, Excel, Outlook)

  • Ability to multitask and prioritise workload

  • High attention to detail and accuracy

  • Experience in medical/dental industry (preferred but not essential)
