The role:

As the Office Manager at Bespoke Bathware, you will be responsible for organizing and controlling the functions and resources of our office to ensure the smooth and efficient operation of our administrative systems. This role is central to supporting our team and business operations, requiring a proactive and organized individual with strong leadership and management skills. You will oversee a range of administrative, financial, and managerial tasks, contributing to the overall success of the organization.

Task & responsibilities

Office Services and Administration

•Contribute to the planning, review, and continuous improvement of office services, setting priorities and establishing service standards to enhance efficiency and effectiveness.

•Develop, implement, and maintain administrative systems, policies, and procedures to ensure organizational effectiveness and compliance.

•Manage the allocation and utilization of office space, equipment, and resources, ensuring they meet the needs of the organization.

•Oversee the maintenance of office equipment and manage the inventory of office supplies, procuring new items as required.

•Ensure the office environment is professional, organized, and conducive to a productive work environment.

 

Personnel and Staff Management

•Assign and delegate work to administrative staff, monitoring their performance and providing guidance and support to ensure tasks are completed to a high standard.

•Coordinate personnel activities, including recruitment, hiring, and onboarding of new staff, in collaboration with the management team.

•Oversee performance management processes, including conducting performance reviews and identifying training and development needs for administrative staff.

•Manage payroll processing and ensure compliance with relevant employment legislation and company policies.

•Supervise and train administrative staff, fostering a positive and collaborative team environment.

 

Financial and Records Management

•Manage the office's records and accounts, ensuring accuracy and compliance with financial regulations and company policies.

•Oversee the preparation and management of the office budget, monitoring expenditure and identifying opportunities for cost savings.

•Process accounts payable and receivable, and manage petty cash and expense claims.

•Maintain confidential records and files, ensuring data integrity and security.

 

Coordination and Communication

•Liaise with professionals, including accountants, lawyers, and IT consultants, to coordinate office business and facilitate the resolution of any issues.

•Act as a central point of communication within the office, ensuring information is disseminated effectively to all staff.

•Coordinate meetings, appointments, and travel arrangements for senior management and staff.

 

Compliance and Safety

•Ensure the workplace is compliant with all relevant government legislation, policies, and procedures, including occupational health and safety regulations.

•Develop and implement workplace safety processes and procedures, conducting regular safety audits and risk assessments.

•Ensure all staff are aware of and adhere to company policies and procedures.


Qualification & experience

•An AQF Diploma, Advanced Diploma, or Associate Degree in Business Administration, Management, or a related field is highly desirable.

•Alternatively, a minimum of three years of relevant experience in a similar role may be considered.

•Proven experience in office management, including staff supervision and financial management.

•Strong knowledge of administrative systems, office procedures, and relevant software applications.

•Excellent organizational, time management, and problem-solving skills.

•Strong interpersonal and communication skills, with the ability to liaise effectively with a wide range of stakeholders.

•A proactive and self-motivated approach, with the ability to work independently and as part of a team.
