About Us
Newcastle Community Preschool is a community-based, not-for-profit sessional preschool in the Cooks Hill precinct of Newcastle, serving 25 children a day. Established in 2000, we are rated Exceeding under the National Quality Framework across all seven quality areas, and we are governed by a Parent Management Committee that has supported the Preschool through more than two decades of growth. Our play-based program is inspired by nature and culture, grounded in respectful relationships, and guided by co-learning with children through inquiry, exploration and reflection. The role is set on Awabakal land and our practice is woven through with respect for the Awabakal people as the traditional custodians and cultural knowledge holders of this region.
About the Role
We are looking for a warm, organised Office Administrator to join our small team in a permanent part-time role, 10 hours per week across two fixed on-site days. The position works alongside the Director and is the first point of contact for parents arriving at the centre, while keeping the day-to-day administrative life of the Preschool running smoothly.
Key Responsibilities
Welcome parents, visitors and contractors on arrival, answer in-person and phone enquiries, and manage the admin email inbox with prompt, professional responses.
Manage the waitlist and enrolment process alongside the Director, maintaining accurate records of enrolled children and communicating clearly with families about enrolment status and requirements.
Research applicable funding and grant opportunities, prepare and submit applications alongside the Director, and maintain records of applications and outcomes.
Organise digital files, prepare reports, letters and other documents, and coordinate meetings, appointments and time-sensitive communications.
Uphold child safety, safeguarding and WHS obligations at all times, in accordance with NSW legislation and the Preschool's policies and procedures.
What You'll Bring
We are looking for someone who is warm, capable and genuinely values community-based early childhood education.
Demonstrated administrative experience in a customer-facing role, ideally including enrolment, waitlist or similar records-based processes.
Strong written and verbal communication skills, with the ability to communicate clearly and warmly with parents, children, staff and external stakeholders.
Computer literacy across Microsoft Office, email and digital filing systems, with the accuracy and attention to detail needed for enrolment and records work. OWNA experience desirable.
Current Working with Children Check (NSW), National Criminal History Check and eligibility to work in Australia. First Aid Certificate desirable.
Discretion and judgement in handling confidential family, staff and operational information, and a collaborative approach to working within a small team.

Award wages and conditions under the Clerks – Private Sector Award 2020 (MA000002), Level 3 from $29.70 per hour, with annual leave loading and superannuation.

A supportive small team of six staff supporting 25 children, with the chance to work directly alongside our Director and 2IC.
