Key Responsibilities:

  • Coordinate and administer construction project activities across multiple commercial fit-out and building projects to support timely and efficient project delivery
  • Assist Project Managers with monitoring project timelines, procurement activities, contractual obligations, project milestones, and administrative deliverables
  •  Coordinate project documentation including contracts, purchase orders, invoices, subcontractor agreements, RFIs, variations, progress claims, and compliance records
  • Maintain and manage project registers, document control systems, reporting platforms, and construction records in accordance with company procedures and project requirements
  • Liaise with subcontractors, suppliers, consultants, and internal stakeholders to facilitate project coordination and ensure effective communication throughout the project lifecycle
  • Prepare project progress reports, meeting agendas and minutes, procurement tracking reports, and other project-related administrative and operational documentation
  • Assist with procurement coordination, scheduling activities, subcontractor onboarding, and tracking project deadlines and deliverables
  • Monitor project correspondence and ensure all project documentation is accurately recorded, updated, and maintained in compliance with contractual and operational requirements
  • Provide administrative and operational support to Project Managers and site teams to assist in the successful delivery of commercial construction and fit-out projects
  • Support the implementation and maintenance of project management systems, processes, and reporting procedures across active construction projects

Requirements:

  • Relevant qualification (preferred)
  • At least 2–3 years of experience in a similar Project Administrator or construction administration role (Required)
  • Strong organisational and time management skills
  • Excellent written and verbal communication skills
  • High attention to detail and ability to manage multiple deadlines
  • Proficiency in Microsoft Office Suite and project management software
  • Experience within the construction, fit-out, or building industry will be highly regarded
  • Relevant qualification in Business Administration, Project Management, Construction Management, or related field preferred
