About the Role
As our Reception & Events Administrator, you'll set the tone for the office, creating a professional and positive first impression for visitors while keeping day-to-day operations running smoothly. Based at Gate 8, you will be part of the Administration team and work closely with colleagues across the business to ensure the environment is welcoming, organised, and efficiently managed.
Candidates must have Australian work rights to be eligible for this position.
Gate 8 is home to more than 400 tenants and multiple premium event and meeting spaces open to both tenants and the broader business community for meetings, events, networking, and community activations. Working closely with the Hospitality team, you will support venue booking enquiries, booking coordination, and administrative support to help deliver a seamless experience for clients, visitors, and stakeholders.
Key Responsibilities
Reception
Warmly greeting and assisting visitors.
Managing phone calls and emails, directing queries to the right people.
Scheduling and coordinating meeting rooms, including setup of equipment and amenities.
Facilitating building and security access for team members and guests.
Assisting with general administrative support across the office.
Managing office supplies and liaising with service providers.
Keeping reception and kitchen areas tidy and welcoming.
Organising catering for meetings and events.
Events
Responding to Gate 8 venue booking enquiries.
Assisting with venue tours for prospective clients.
Assisting with booking coordination across meeting and event spaces.
Supporting event administration and communications.
Assisting with the planning and delivery of internal, external, community, and business events hosted at Gate 8 alongside the Hospitality team.
Concierge
Providing Concierge Desk coverage and support.
Assisting visitors, guests, and stakeholders with general building and venue enquiries.

Professional corporate presentation with a polished and engaging manner.
Tech savvy, proficient in Microsoft Office applications including Word, Excel, PowerPoint, Outlook, and Teams.
Natural problem solver with a solutions-focused mindset.
Strong attention to detail and ability to work in a fast-paced environment.
Ability to manage competing priorities and adapt to changing daily demands.
Confident interacting with tenants, clients, visitors, and senior stakeholders.
Ability to work collaboratively as part of a team while also taking initiative independently.
Previous experience in reception, administration, hospitality, or event support roles will be highly regarded.
Minimum of 1-2 years experience in reception, administration, hospitality, or event support roles is required.
