This role is for a Part-Time Receptionist to join a mission-driven Psychology Clinic with a brand-new model of mental healthcare. We are looking for an organized, compassionate professional to act as the "face" of our clinic , ensuring our front desk operates with absolute precision.
About Psychology OutcomesSince Psychology Outcomes opened its doors in 2020, we have created a unique model of working that not only increases the effectiveness of therapy for the clients we treat but has been shared with organisations and clinics across Australia, the USA, and Europe.
We have developed a new model of mental healthcare, underpinned by two innovations unique to our clinic:
We can identify and forecast by the second appointment which clients will not improve by the end of treatment.
We can offer additional support to those clients at no cost, changing the course of their mental health trajectory.
We call this our "Care Pathways Model". In addition to individual therapy, the add-on supports offered on-site include an 8-week Mindfulness Group, a Sleep Coaching Group, and a Yoga Group. Our ultimate mission is to achieve 9 out of 10 clients getting better—a feat never before achieved by a psychology service.
The Role & Roster StructureWe are currently recruiting for two identical part-time roles to seamlessly share the clinic's operating hours (9:00 AM – 7:00 PM, Monday to Friday). To provide maximum team balance, redundancy, and connection, this position operates on a structured, predictable fortnightly rotating roster:
Week A (Morning Shift): Monday to Thursday 10:00 AM – 3:00 PM, Friday 9:00 AM – 2:00 PM (25 hours)
Week B (Afternoon Shift): Monday to Friday 2:00 PM – 7:00 PM (25 hours)
Note: You will enjoy a valuable 1-hour daily collaborative overlap window with your co-receptionist from Monday to Thursday (2:00 PM – 3:00 PM) to manage handovers and shared administrative projects cleanly.
Client Journey & Calendar Management: Welcome arriving clients with genuine warmth. Manage inquiries via phone, email, and web to fill practitioner schedules 30 days in advance, aiming to convert at least 10 inquiries into active bookings per week.
System Operations: Follow established internal checklists to accurately navigate and input database records into our practice management software and financial platforms.
File Auditing: Systematically review client records to ensure all vital paperwork, Consent Forms, Mental Health Care Plans (MHTPs), and NDIS documentation are fully uploaded prior to initial consultations.
Financial Care: Securely process client invoices and point-of-sale payments. Proactively track outstanding invoices via polite follow-ups to keep total clinic debts within advised targets.
Community Outreach: Build local relationships by distributing newsletters, thank you cards and other communications to our referring GP network; and updating availability blocks across community NDIS groups.
The ideal candidate doesn't need to be an IT mastermind, but you must possess high confidence when navigating software and cloud-based databases, with a methodical approach to following step-by-step technical documentation.
